How are we going to do that

On account of the fact that we, as no other, know how important communication is here below you can find our working method. A clear step plan which we follow to accomplish a perfect end result. If you cannot agree with this step plan you can, of course, indicate this to us. There are more roads that lead to Rome...

Step 1: scheduling a meeting

A meeting is often planned by telephone. To be able to determine who at La Promesse-Groep will be present during the meeting a number of short questions will be asked by telephone. When the meeting is scheduled we will send you our “Event Passport”. In the latter you can find a questionnaire which will be discussed during the meeting. Your answers are of utmost importance owing to the fact that the elaboration of our proposal will entirely be based on your answers.

Step 2: the introduction

The first face-2-face meeting is often one of the most important moments during the entire process. We will sound each other out to see whether there is a connection. Then our Event Passport will be discussed. This meeting can take place at your office but also at La Promesse. Once all the questions have been discussed clear arrangements will be made with regard to the remainder of the process.

Step 3: the brainstorm session

At our office a project group will be composed. This project group can consist of employees of La Promesse possibly supplemented with top specialists from a certain segment of our branch. We refer to these people as “our knowledge provider(s)” because they dispose of the best knowledge in their discipline (think about producers, text writers, light and sound technicians, caterers, stage builders etc.). This project group will be composed on the basis of the nature of your request. Then a first brainstorm session will follow. If desired you are more than welcome to attend this brainstorm session. During this brainstorm session we will, unrestrainedly, think about possible implementations of your event. The best ideas will further be elaborated.

Step 4: the ability test

One or more of the aforementioned ideas will be described on “one piece of A4 paper”, possibly with a rough indication of the budget. Before we start elaborating the entire plan it is important that our idea appeals to you.

Step 5: the presentation of our proposal

If the plan appeals to you we will, as much as possible, further elaborate the proposal for you. Here you can think about, for example, a concept description, a catering proposal, location, decoration, technique and stage description and an extensive specification of the costs. We would like to personally present this proposal to your project group.

Step 6: the production

If you agree with our proposal we will start the production. This step runs up to the performance date and comprises the total preparation of your event. The earlier mentioned project group will possibly be expanded by multiple “knowledge providers”. This basically involves an internal group and you will communicate with at most 4 of these people. Depending on your wishes you will (or will not) be extensively involved in the entire process.

Step 7: the performance

This is the moment we have all been waiting for, the performance. This step starts at the moment technique etc. is being constructed. All the contracted sub-contractors will follow the construction script. The latter is verified by the project manager. The eventual performance is also accurately described in an (internal) script so that everybody knows what his/her tasks are. After the successful performance the deconstruction script will apply (load out). Step 7 only ends once the total deconstruction is a fact.

Step 8: the evaluation

Some time after the conclusion of the event an internal as well as an external evaluation will be planned. This evaluation is particularly important to learn from. Improvement points can always be found in a project with many links. This evaluation is also considered the definitive end of the project as a whole.
